What billbook app means in practice, what each option costs you when something goes wrong, and a free plan to test the answer on rather than take anyone's word for it.
The question that decides it for most businesses
Not features. Two things: how reliable is your internet, and how many people bill?
If your connection drops for hours at a time and one person does all the billing at one counter, installed software is genuinely the better engineering choice, and no amount of enthusiasm about the cloud changes that. If more than one person bills, or you need the figures from somewhere other than the shop, the cloud wins on the thing that actually breaks — two copies of a file and two numbering series.
Everything else is preference. These two are consequences.
Billing from a phone
Billing from a phone is genuinely useful in some trades and awkward in others. It suits anyone who bills where the work is — a service visit, a delivery, a site, a market stall. It does not suit a counter with a queue, where a physical keyboard, a scanner and a real printer are faster than any phone.
This works on a phone browser rather than as an app from a store. There is no listing to install; you open the site, sign in, and the screens are built to work at that size. You can add it to your home screen so it opens like an app.
The question worth asking about any billing app, including the ones that are real apps, is where the data lives. If it lives on the phone, a lost or wiped phone is a lost set of records, and app-only products that keep a local database are a genuine risk for a business. Here the records are on the server, so the phone is just a window — losing it costs you a phone.
Printing from a phone is the real limitation. Sharing the PDF on WhatsApp usually works better than trying to print, and for many service businesses that is what the customer wanted anyway.
What the free plan actually includes
- Complete GST tax invoices, every legally required field, tax split per line.
- Nothing to install — a browser on any computer, tablet or phone.
- Customers and items stored once, with GSTIN, state, HSN or SAC and rate.
- One numbering series, issued centrally and consecutive within the financial year.
- Stock that moves as you bill.
- A receivables position — what is unpaid, aged, per customer.
- PDF invoices to print, email or send on WhatsApp.
- Full export to CSV, Excel and JSON, on every plan including this one.
- ₹0 — no card, no expiry, not a trial.
Trying it in five minutes
- Start free now — an email address and a password. No card, no download.
- Enter your business name, address and GSTIN.
- Add two or three of your own items with their HSN codes and rates — ideally at two different rates.
- Raise a real invoice and check the tax computed per line.
- Print it on the printer you actually use, or share the PDF to your own phone.
- Raise a second one and confirm the number advanced by itself.
- Export everything and open the file, so you know you can leave.
Where your data is, and how to stay able to leave
With installed software the data is on your machine, and the risk is losing it — a failed disk, a theft, a reformat. With a hosted system the data is on a server, and the risk is different: not losing it, but not being able to take it with you.
The protection against the second is export, and it is worth being specific about what good export looks like. Everything, not a summary. A format you can actually open — CSV, Excel or JSON rather than a proprietary archive. Available whenever you want it rather than on request. And on every plan, because an export that requires a payment to use is a lock.
The question to ask any vendor is what happens to your records if you stop paying. "They are deleted" and "the account is locked" are both answers that should end the conversation for a business keeping statutory records.
Here, export is on every plan including the free one, and the free plan does not expire — so an account cannot lapse into a state where your own records are unreachable.
The hardware question, answered honestly
Browser-based billing works with ordinary hardware, with one real caveat worth knowing before you buy anything.
Printers work the way they work for any web page: if your computer can print to it, this can print to it, including a thermal roll printer with the right paper size set. A USB barcode scanner behaves as a keyboard, so it types the code into the field — nothing special is needed. A phone or tablet works for billing but is poor for printing.
The caveat is deep hardware integration. A browser cannot talk directly to a weighing scale, a fuel dispenser, a cash drawer on a serial port or a card terminal. If your counter depends on the scale posting a weight into the bill, that needs installed software with a driver, and no web application will do it.
So the test is not "will it work with my printer" — it almost certainly will. It is "does anything at my counter need to speak to the software directly". If something does, that decides it.
Invoice numbering: one unbroken series per year
The invoice number has to be consecutive, unique within the financial year, and no more than sixteen characters of letters, numbers, slashes and hyphens. Gaps invite questions. Duplicates cause them.
This is the single most common reason a spreadsheet-based billing setup fails an audit: two people billing on two machines, both starting from the last number they remember. A system that issues the number centrally cannot make that mistake.
The series restarts on 1 April, and Billixo restarts it for you rather than waiting to be told.
Credit notes, debit notes, and fixing a wrong invoice
An issued tax invoice is not something to edit. If the value was too high, or goods came back, the correction is a credit note that references the original invoice. If it was too low, a debit note. Both carry their own numbers and both appear in your return.
There is a deadline on the credit note that matters: the adjustment has to be declared by the return for the relevant month of the following financial year, or by the annual return, whichever comes first. Past that, the note exists commercially but the tax cannot be adjusted.
Software that lets you quietly retype an invoice raised last month is not doing you a favour.
Bill scanning, in practice
The single largest time cost in most small businesses is not raising invoices — it is entering purchases. A photograph of a supplier bill goes in and a structured draft comes out: supplier, GSTIN, line items, rates, tax split and total.
You check it. That is the workflow, and it is deliberate: an extraction you did not read is a liability, not a saving. But checking a filled form takes fifteen seconds and typing one takes three minutes, and that difference compounds over a month of purchases.
Who it is built for
Small and mid-sized Indian businesses that are registered under GST and bill regularly. One person doing everything, or a counter with three people billing at once and an accountant who needs the month to close cleanly.
The design assumption throughout is that whoever raises the invoice is busy and is not a tax specialist. So the tax is computed rather than asked for, the compliance fields are populated rather than presented as questions, and the report the accountant wants is a download rather than a request.
Try it free — the free plan needs no card and does not expire.
What "free" means here, exactly
The Free plan costs nothing, needs no card, and has no expiry date. It is not a trial that turns into a bill; it is a plan you can run a small business on indefinitely.
What it gives you:
- Real GST invoices with the full Rule 46 field set
- Customers and products, with HSN/SAC held against each
- A daily and monthly invoice allowance, generous enough for a small operation
- One login
- Export of your own data, whenever you want it
What it does not give you:
- A watermark-free PDF
- GSTR-1 and GSTR-3B export
- The AI features — bill scanning, HSN lookup, the assistant
- Extra team logins, bulk import, recurring invoices and reminders
Every new account also gets the full paid feature set for its first 14 days, so you can see what the ceiling looks like before deciding whether you need it. When that ends nothing is charged and nothing is deleted — the account simply settles onto Free.
Start free now — it takes an email address and about a minute.
Reliability, backups and getting your data out
Cloud billing software is only as good as its worst day. Two things matter more than any feature list: that your data is backed up somewhere you can reach, and that you can export it in a format something else can read.
Exports here are CSV, Excel and JSON, on every plan including the free one, covering customers, products, invoices and payments. That is the honest test of whether software respects you — not what it promises, but what it lets you take when you leave.
Frequently asked questions
Can I print on a thermal receipt printer?
Yes, if your computer prints to it. Set the paper size to your roll width and print as you would any page. What a browser cannot do is drive a cash drawer or a weighing scale directly.
Is the free plan a trial?
No. The Free plan is ₹0 with no card and no expiry, and plenty of small businesses stay on it. Every new account also gets the full paid feature set for its first fortnight so you can see the ceiling, and when that ends nothing is charged and nothing is deleted.
What happens to my data if I stop using it?
It stays exportable. Export to CSV, Excel and JSON is on every plan including the free one, which does not expire — so you are never in a position where your own records are locked behind a payment.
Can more than one person use it?
On the paid plans, yes — team logins with their own credentials. The Free plan is a single login, which suits a one-person operation and is usually the first limit a growing business hits.
Is my data shared with anyone?
No. It sits in this installation, scoped to your company. AI requests only happen when you explicitly ask for one, and nothing is sent anywhere otherwise.
Try it — the demo is the product
There is no sales call and no scheduled demo, because a recorded walkthrough of somebody else’s data tells you nothing about your own. Open an account instead and raise a real invoice for a real customer; it takes about a minute and costs nothing.
