If you are searching download gst billing software, you are probably after something specific: software that works on your PC, keeps working when the internet does not, and does not charge you monthly. This page is about whether that is still the right trade — and what you give up either way.
What a download actually gets you
One genuine advantage, and it is a real one: billing keeps working when the connection does not. In a lot of India that still matters, and no cloud product can match it.
The rest of the usual reasons hold up less well. "One-time payment" is usually one-time for a version, not forever. "My data is on my machine" is true, and it is also who is responsible for backing it up. "It is faster" was true a decade ago and mostly is not now.
Choose an install because of the first reason. The others are worth checking against your own situation before they decide it for you.
Getting a copy of an invoice
Some of this search is not about software at all: it is somebody wanting a copy of a bill. Worth answering plainly, because the answer is short.
If you need a copy of an invoice a supplier issued to you, it comes from that supplier or from their own customer portal. Nobody else can produce it, and a tax invoice is their document rather than something held centrally. For a large company, it is usually under orders or billing history in your account with them.
If you need a copy of an invoice you issued, that depends entirely on where you issued it from — which is the real argument for records rather than a folder of PDFs. A system can reproduce any invoice it issued, by number, years later. A folder can only give you the file if the file is still there.
One thing not to do: do not reissue with a new number because a customer asked for a copy. Send the same invoice again. A new number creates a second supply in your records that never happened.
What you get without downloading anything
- Nothing to install. Open a browser on any machine — Windows, Mac, a phone — and sign in.
- Nothing to update. Rule changes and new features arrive without a setup file.
- No licence tied to a computer. Replace the machine, sign in, carry on.
- Backups handled centrally, rather than being a routine you have to remember.
- Bill from anywhere — the counter, home, or a customer’s office.
- Real GST invoices with the full Rule 46 field set and the tax split derived from place of supply.
- Full export in CSV, Excel and JSON, on every plan including the free one.
- A free plan at ₹0 with no card and no expiry, so there is nothing to weigh up before trying it.
Trying it without installing anything
- Open the free signup in whatever browser you already have.
- Enter your business name, GSTIN and state.
- Add one customer and one product with its HSN code.
- Raise an invoice and download the PDF.
- Sign in from a second device — a phone will do — and confirm the same invoice is there.
- That last step is the whole difference between the two models, and it takes thirty seconds to feel.
Offline billing: who genuinely needs it
It is a real requirement for some businesses, and it should not be argued away. A counter in an area with unreliable connectivity, a site office, a market stall on mobile data in a dead spot — for these, an installed product that works with no network is the correct answer.
It is not a real requirement for most offices with a broadband line and a phone that can hotspot. The question to ask honestly is: in the last three months, how many minutes was I unable to bill? If the answer is nearly none, the trade is being made for a problem you do not have.
"Lifetime free" downloads and what usually happens
Free downloadable billing tools exist and some are genuinely useful. What they tend to have in common is that development stops, and the tool freezes at the version of the law it last understood.
That is fine for a year and expensive in year three, when the invoice format needs a field it does not have and there is nobody to add it.
The question to ask about anything described as lifetime free is not what it costs. It is who maintains it, and how you would get your data out if they stopped.
Credit notes, debit notes, and fixing a wrong invoice
An issued tax invoice is not something to edit. If the value was too high, or goods came back, the correction is a credit note that references the original invoice. If it was too low, a debit note. Both carry their own numbers and both appear in your return.
There is a deadline on the credit note that matters: the adjustment has to be declared by the return for the relevant month of the following financial year, or by the annual return, whichever comes first. Past that, the note exists commercially but the tax cannot be adjusted.
Software that lets you quietly retype an invoice raised last month is not doing you a favour.
Reverse charge, exports and the supplies that behave differently
Not every supply is a straightforward taxable sale. Some notified supplies put the tax liability on the recipient rather than the supplier. Exports and supplies to an SEZ can be made under a bond or LUT without payment of tax, or with tax and a refund claimed afterwards. Composition dealers cannot charge tax at all and must say so on the bill.
Each of these changes what the invoice has to say — the reverse charge marking, the LUT reference, the "composition taxable person" declaration. They are not exotic cases; most businesses hit at least one.
The fields are on the invoice in Billixo whether or not you use them, so the day you need one you are not looking for a workaround.
The AI, and what it is actually for
The useful application of AI to billing is not a chatbot. It is the twenty minutes a day spent retyping things that already exist on paper.
- Scan a supplier bill. Photograph it; the lines, the GSTIN, the tax and the totals come back as a draft you check rather than a form you fill.
- Find the HSN code. Describe the product in plain words and get a code to confirm, instead of scrolling a list of eleven thousand.
- Ask about your own numbers. "What is outstanding over sixty days?" answered from your data, not a manual.
- Write the reminder. A polite, specific chase for an overdue invoice, ready to send on WhatsApp.
Nothing is sent anywhere until you ask for it, and the platform runs on whichever model it has been configured with — including one hosted on your own server.
Where this fits in a working day
Morning: yesterday’s supplier bills get photographed and become purchase records. Through the day: invoices go out as goods do, shared on WhatsApp before the customer has left. End of the week: the receivables list says who to call. End of the month: the GST summary is a download, not a project.
None of that requires a new habit, which is the point. A billing system that needs discipline to work is one that stops working the first busy week.
The price, plainly
Free is ₹0 and stays ₹0. The paid plans are bought for a fixed term, paid once, with no auto-renewal and no card kept on file — when a term ends the account drops back to Free until you decide to buy again.
There is no per-invoice charge, no per-user surprise on the free plan, and no feature that is technically included but practically throttled. What the plan says you get is what you get.
Compare the plans on the home page, or just start free now and look at the ceiling from the inside.
Where your data lives
On the server this platform is installed on. Every record carries a company identifier and every query is scoped to the signed-in account at the framework level, so one business cannot read another’s data by any route, including a crafted one.
Sign-in is rate limited, sessions can be restricted to one device per user, and passwords are stored hashed. Exports are available on every plan, free included: if you ever want to leave, your data leaves with you.
Frequently asked questions
Will it work if my internet goes down?
No — that is the honest trade-off. A browser-based system needs a connection at the moment you bill. If billing has to continue through an outage, an installed product is the right choice for you and it would be dishonest to say otherwise.
Can I use it on more than one computer?
Yes. It is an account, not a licence tied to a machine. Sign in from the counter, from home and from a phone; it is the same data everywhere.
Is it free?
There is a Free plan at ₹0 with no card and no expiry, carrying volume limits, one login and a watermark on the PDF. Paid plans are bought for a fixed term with no auto-renewal.
Do I need to install anything?
No. It runs in a browser, on a laptop, desktop or phone, so there is nothing to install, nothing to update and nothing tied to one machine. If the office computer dies, you sign in from another one and everything is there.
Are the invoices valid for GST?
Yes. Every invoice carries the fields Rule 46 requires — GSTIN, HSN/SAC on each line, place of supply, the correct CGST/SGST or IGST split, and a consecutive invoice series that restarts each financial year.
See it working on your own bills
The fastest way to judge billing software is to bill with it. Photograph one supplier invoice, raise one sales invoice, and look at the PDF your customer would receive.
