GST Bill Software Offline is a decision about where your data lives, not just about how you install it. Here is what that actually means in practice, and a free alternative with nothing to install.
What a download costs you later
- Backups are yours. A failed disk without a backup routine is not an inconvenience, it is the loss of your billing history.
- One machine. Billing from home, from a second counter or from a phone means either a network setup or not doing it.
- Updates are a job. GST rules change; so does the software. Somebody has to install the new version.
- The licence is a machine, not a business. Replacing a computer becomes a project.
- Getting data out. Desktop products vary enormously in how easily you can leave. Check the export before you commit, not after.
None of these are dealbreakers. They are the bill that arrives later, and it is worth knowing the amount in advance.
Offline billing: who should actually choose it
This product does not work offline. It runs in a browser and needs a connection to issue a bill, and it is better to say so here than at the first screen.
If any of these describes you, installed software is the right engineering choice. A counter where the internet drops for hours rather than minutes. A shop with no fixed line and patchy mobile data. A van, a stall or a site with no connectivity. Billing that cannot stop, where downtime means a queue leaving.
What to look for in that case: software that keeps its database on the machine, and a backup you have personally tested restoring. Ask how data moves between two machines if you ever need two, because that is the question that gets answered badly later.
The in-between case is the common one and worth naming. Unreliable but not absent internet: keep a printed invoice book as the fallback and enter the day's bills once in the evening. That costs about an hour a week and removes the risk completely, which is why plenty of shops run exactly that way.
What you get without downloading anything
- Nothing to install. Open a browser on any machine — Windows, Mac, a phone — and sign in.
- Nothing to update. Rule changes and new features arrive without a setup file.
- No licence tied to a computer. Replace the machine, sign in, carry on.
- Backups handled centrally, rather than being a routine you have to remember.
- Bill from anywhere — the counter, home, or a customer’s office.
- Real GST invoices with the full Rule 46 field set and the tax split derived from place of supply.
- Full export in CSV, Excel and JSON, on every plan including the free one.
- A free plan at ₹0 with no card and no expiry, so there is nothing to weigh up before trying it.
Trying it without installing anything
- Open the free signup in whatever browser you already have.
- Enter your business name, GSTIN and state.
- Add one customer and one product with its HSN code.
- Raise an invoice and download the PDF.
- Sign in from a second device — a phone will do — and confirm the same invoice is there.
- That last step is the whole difference between the two models, and it takes thirty seconds to feel.
"Lifetime free" downloads and what usually happens
Free downloadable billing tools exist and some are genuinely useful. What they tend to have in common is that development stops, and the tool freezes at the version of the law it last understood.
That is fine for a year and expensive in year three, when the invoice format needs a field it does not have and there is nobody to add it.
The question to ask about anything described as lifetime free is not what it costs. It is who maintains it, and how you would get your data out if they stopped.
A note on "for PC"
Browser-based software runs on a PC. That is worth saying because "for PC" and "downloadable" have become the same phrase in search, and they are not the same thing.
Billixo on a Windows desktop is a browser tab. It fills the screen, prints to your printer, and reads a barcode scanner as keyboard input like any other application. What it does not do is occupy a folder on your C: drive.
Reverse charge, exports and the supplies that behave differently
Not every supply is a straightforward taxable sale. Some notified supplies put the tax liability on the recipient rather than the supplier. Exports and supplies to an SEZ can be made under a bond or LUT without payment of tax, or with tax and a refund claimed afterwards. Composition dealers cannot charge tax at all and must say so on the bill.
Each of these changes what the invoice has to say — the reverse charge marking, the LUT reference, the "composition taxable person" declaration. They are not exotic cases; most businesses hit at least one.
The fields are on the invoice in Billixo whether or not you use them, so the day you need one you are not looking for a workaround.
What a GST invoice legally has to carry
Rule 46 of the CGST Rules sets out what a tax invoice must show, and it is a longer list than most invoice templates carry. Getting one field wrong does not usually cost you anything the day you raise it — it costs your customer their input credit months later, which is a harder conversation.
The fields are:
- Your name, address and GSTIN
- A consecutive invoice number, unique within the financial year
- The date of issue
- The customer's name, address and GSTIN where they are registered
- Place of supply, and the state code, for inter-state supplies
- HSN or SAC against every line
- Description, quantity, unit, rate and taxable value per line
- Rate and amount of CGST, SGST/UTGST, IGST and cess, shown separately
- Whether tax is payable on reverse charge
- Signature or digital signature of the supplier or an authorised person
Billixo fills these in from the customer and product records rather than asking you to remember them, which is the only reliable way a busy counter gets them all right every time.
Bill scanning, in practice
The single largest time cost in most small businesses is not raising invoices — it is entering purchases. A photograph of a supplier bill goes in and a structured draft comes out: supplier, GSTIN, line items, rates, tax split and total.
You check it. That is the workflow, and it is deliberate: an extraction you did not read is a liability, not a saving. But checking a filled form takes fifteen seconds and typing one takes three minutes, and that difference compounds over a month of purchases.
A note for accountants and CAs
If you are the person who has to make sense of a client’s billing at the end of the month, what you need from their software is narrow and specific: a complete outward supply summary, correct place-of-supply treatment, HSN present on every line, and an export you can open without repair.
Billixo produces GSTR-1 and GSTR-3B summaries and exports to CSV, Excel and JSON. Client-side, the invoice fields cannot be skipped, which removes the category of problem where the data was never captured in the first place.
Free, and what it costs you instead
Free software usually costs you something that is not money: your data held hostage, an export that does not work, ads inside your invoice, or a "free" tier so narrow it is a demo with a login screen.
The line here is drawn differently. Export works on the free plan — CSV, Excel and JSON — because data you cannot get out is not data you own. The invoice is a real compliant invoice, not a sample. The limits are on volume and on the conveniences, not on whether the thing works.
Start free now. If it does not suit you, take your data with you.
Reliability, backups and getting your data out
Cloud billing software is only as good as its worst day. Two things matter more than any feature list: that your data is backed up somewhere you can reach, and that you can export it in a format something else can read.
Exports here are CSV, Excel and JSON, on every plan including the free one, covering customers, products, invoices and payments. That is the honest test of whether software respects you — not what it promises, but what it lets you take when you leave.
Frequently asked questions
Can I use it on more than one computer?
Yes. It is an account, not a licence tied to a machine. Sign in from the counter, from home and from a phone; it is the same data everywhere.
Is it free?
There is a Free plan at ₹0 with no card and no expiry, carrying volume limits, one login and a watermark on the PDF. Paid plans are bought for a fixed term with no auto-renewal.
Where is my data if it is not on my computer?
On the server this platform is installed on, scoped to your company. You can export all of it — customers, products, invoices, payments — to CSV, Excel or JSON at any time, including on the free plan.
Can more than one person use it?
On the paid plans, yes — team logins with their own credentials. The Free plan is a single login, which suits a one-person operation and is usually the first limit a growing business hits.
Is my data shared with anyone?
No. It sits in this installation, scoped to your company. AI requests only happen when you explicitly ask for one, and nothing is sent anywhere otherwise.
Start free, decide later
You do not have to choose a plan to begin. Start on Free, use it for as long as it suits you, and upgrade only when a limit actually gets in your way — never automatically, and never because a countdown ran out.
